How a growing Phoenix HVAC and plumbing company stopped losing jobs to missed calls

A growing Phoenix HVAC and plumbing company turned missed calls into booked jobs with Voipcom call queues, TextBack, an AI receptionist, and Jobber CRM integration.

The challenge

A 22-tech HVAC and plumbing company in the Phoenix metro was growing faster than its phones could keep up. During a heat wave or a burst-pipe morning, every line rang at once — the front desk could only talk to one caller at a time, so the rest hit a busy signal or voicemail and simply dialed the next company on Google.

Techs in the field answered customer calls from personal cell phones, so nothing was logged, caller ID was a stranger’s number, and after-hours calls — when emergency AC and water jobs are most valuable — went unanswered until morning. With no shared record of who called, dispatch was running on sticky notes and the owner had no idea how many jobs were walking out the door.

The solution

Voipcom replaced the single-line setup with managed business phone service and ported the company’s existing number untouched, then built a call flow for how a field-service team actually runs: an auto-attendant greets and routes callers (service vs. new estimate vs. billing), and a call queue holds overflow so a rush of simultaneous callers waits in line for the next available person instead of hitting a busy signal. The mobile and desktop apps put the business line on every tech’s phone, so field calls ride the company number and get logged like any office call.

On top of that, Voipcom turned every missed call into a follow-up. Business SMS TextBack fires an instant text to anyone who hangs up before reaching a person, and an AI receptionist answers overflow and after-hours calls in natural language — qualifying the caller, booking the appointment, and texting a recap. The phone system is wired into Jobber through Voipcom’s CRM integration, so calls and bookings land on the right customer record automatically instead of on a sticky note.

The results

  • Missed calls during peak hours dropped to near zero — overflow now waits in a queue or gets an instant TextBack instead of a busy signal
  • After-hours and weekend emergency calls get answered and booked by the AI receptionist without hiring an overnight dispatcher
  • Every customer call now lands on the right Jobber record automatically, so dispatch runs off the CRM instead of sticky notes
  • Field techs handle business calls and texts on the company number, so caller ID, records, and follow-ups stay with the business when someone changes phones

“Before Voipcom, a hot Saturday meant the phone just rang busy and we’d never know how many jobs we lost. Now nobody gets a busy signal — they wait in the queue, get a text back, or the AI books them after hours — and every one of those calls shows up in Jobber. We stopped leaking work without hiring a single person to answer phones.”
